Overview
This service is used for employees to request a new softphone, make changes to an existing extension, or convert a physical phone to a softphone. The softphone application allows employees to make phone calls using their UFV assigned extension regardless of location, eliminating the need for physical phones. Eligible users can obtain a new softphone with basic phone service. The supported platforms for softphone usage include PC, Mac, and smartphones (iPhone/Android phone).
IMPORTANT: A budget approval will be required for the cost of a new softphone extension. If you require a headset, you must also submit a Hardware Procurement service request.
Note: Physical phones are no longer being distributed, except for extenuating circumstances. Non-functional physical phones can be returned to the IT Service Desk for recycling.
What is a softphone?
A softphone is a software application that runs on a computer or a mobile device (IOS or Android) and functions as a phone, but without the handset that is normally associated with a phone. This type of software application functions as a virtual phone and appears graphically as a real phone on the computer or mobile device’s screen. It allows the employee to make phone calls (internal or external) using a UFV-assigned extension, regardless of their location.

Requirements and Costs
Departments will incur a one-time charge only when requesting a new softphone extension, approximately $322, via a budget transfer. The department will also be required to purchase a compatible headset for the employee (between $50 and $300). IT Services will help to provide headset options and assist with this purchase as needed.

UFV employees can complete the Softphone / Softphone Extension Request form to request a softphone. Please provide the following information:
- Employee name
- Department
- Employee local / phone number
- Budget Code
- Spending Authority
