Audio Visual Setup Instructions

The following is about the audio visual setup in:
Abbotsford, Building J, Room 161

System Functionality

The audio visual system in Abbotsford J-161 is composed of:

Projector with retractable screen
Wired and wireless presentation/audio playback
One headset and one handheld microphone*
Movable raise/lower podium
Touch control
Custom lighting presets

*Used for voice reinforcement only, not for video conferencing

Turn on the System

1. On the Control Panel, press the Projector Power button.

Wired Presentation (Windows or MacOS)

1. On the Control Panel, select J161 Podium.

2. Slide the Podium to your desired location.

3. Connect the HDMI cable hanging from the Podium to your device.

The projector can be turned on and off with the Power button at the top of the screen.
The projector image can be muted with the Mute Projector Button, and audio will still play from the selected source.

Wireless Presentation (Windows, Android)

1. On the Control Panel, select J161 Wireless Presentation.

2. Ensure your device is connected to Wi-Fi.

3. Follow the instructions displayed on the Projector Screen for your specific device.

The projector can be turned on and off with the Power button at the top of the screen.
The projector image can be muted with the Mute Projector Button, and audio will still play from the selected source.

Microphones

The room’s handheld and headset microphones are stored in the Storage Closet (J160).

1. Get the Handheld Mic and/or belt pack transmitter from the shelf in the Storage Closet (J160).

2. Ensure the Microphone is turned on (press and hold the power button to turn the Microphone on).

Note: Ensure the Microphone’s physical Mute Switch is not toggled to Mute.

3. On the Control Panel, press Audio Controls.

4. Adjust each Microphone’s Volume using the + and – buttons.

6. The Microphones can be muted /unmuted using the buttons on the Audio Controls page.

Device Audio (Video Source)

1. Ensure you have established a wired or wireless connection in previous step.

2. Go to your device’s settings audio settings (MacOS, Windows11).

3. Ensure the correct output device is selected (i.e. NOT your laptop speakers).

4. Use both the Video Source Volume control on the touch panel and your device’s volume controls to control volume.

Lighting

1. Dim each lighting zone to your liking using the up/down arrows.

2. Press and hold one “User 1” or "User 2” buttons for 5 seconds to save a Temporary Preset.

3. Use the Preset buttons to recall lighting scenes as needed during your event .

Before you LEAVE the Room

1. Ensure your device has ceased presenting wirelessly.

2. On the Control Panel, press the Shut Down button (bottom left).

3. Turn the Microphones off and return them to the Storage Closet (J160).

4. Return the Podium to the southwest corner of the room.

Tips for a Great Presentation

Get comfortable

Press the up/down arrows on the controller mounted to the podium to adjust the podium’s height to your liking.

Set the mood

Use the lighting presets.

Changing the lighting can let people know the event is starting or finishing.

Turn off the strip lights at the front of the room to improve the projector image (second column on the lighting controls).

Play some tunes

Put some music on as your attendees arrive and leave.

Use the Wireless Presentation option to mirror your phone screen and play music.

Press the Mute Projector button on the Control Panel to prevent people from seeing your screen.
