Share OneDrive or SharePoint files with a non-UFV account (to an external email address) by either:
Sharing your cloud files and folders individually; or by
Sharing your entire SharePoint site or Teams channel.
Sharing cloud files and folders individually
Note: This option does not require prior setup by IT Services.
Use either OneDrive or SharePoint to open to your cloud files (if needed, sign in with your UFV credentials).
Step 1 - Go to your cloud files
For OneDrive:
Open OneDrive app on your computer by going to Start button, search OneDrive, choose OneDrive app:

OR
Open OneDrive in a web browser (https://ufv1974-my.sharepoint.com/)

For SharePoint:
Open SharePoint in a web browser (https://ufv1974.sharepoint.com/) and click on My Sites (globe icon ).


Step 2 - Select your cloud file(s)
Click a team site, folder or files to navigate to the location you want to share.
Select one or more file(s) or folder(s), with the or circle(s).
Step 3 - Manage access
Click the Share button to the right of the filename OR open the file and use the Share button at the top right corner of the page.
In the Send Link window, enter the email address of the external guest user.
Choose permissions, i.e.Can edit or Can view.
Click Send and an email invitation to access the content will be sent to the guest user.
To remove access
Click on the file(s) or folder(s) to remove access.
Click the Shared button to view sharing details.
Click Manage access to see list of people's access.
Click the X next to the guest user's name.
Sharing an entire SharePoint site or Teams channel
A guest user will have access to everything within your SharePoint site or Teams channel including any future documents or folders added to it.
Note: This option does require an initial setup by IT Services to create a guest user account.
To initiate this request, go to the online ITS Service Request at External User Account Access to UFV Network & Computers.
Complete the form fields.
Note: You are required to select Yes for Does the external user require SharePoint and/or Teams access?
Click the Submit button.
IT Services will then create the guest user account and send you instructions on how to add it to your SharePoint or Teams.
