Overview
Faculty can now track student attendance in myUFV. This procedure explains how to enter attendance information for a course using the Faculty Attendance Tracking Page.
Attendance Tracking is used to track attendance and absence statistics for students by CRN. It can be used on a laptop or mobile device.
Attendance Tracking system can be used for:
- Marking student’s attendance as present or absent.
- Recording meeting cancellations and notified absences.
- Recording student’s total attended hours or last date of attendance.
The following option is available on the Mark attendance page in faculty and advisor Self Service:
- Present/Absent: Enter Yes/No (it is assumed that the student was present throughout the whole meeting).
Note: Only attendance information can be entered or updated. No section or meeting information can be changed.
- Log into myUFV using your UFV email address (i.e. firstname.lastname@ufv.ca) as your username and your UFV email password.
- Under Faculty Self-Serve Banner tools card, click Attendance Tracking.
You will see the courses that you can enter attendance for. The screen consists of two sections:
- My Courses section: Records are listed in numerical order by CRN and chronological order by term. Course list can be sorted by clicking on any of the column headers – Term, CRN, Subject, Course, Section, or Title.
- Side Detail section: It consists of the Getting Started and Course tabs.
- Getting Started tab provides general information about how to use Attendance Tracking and who to contact for questions.
- Course tab displays detailed information about the course.
Once you have selected a course, you will see information regarding the course meeting dates, occurrences, number of meetings transpired, and attendance completed on the right-side panel.
Click on the Take Roll button to access the attendance roster.
Note: Courses that do not have any of the days of the week highlighted mean these courses have no standard meeting times.
You have two options to enter attendance for each meeting:
1. Use the Update All drop-down menu and select one of the following options:
- Update Empty Records to Present changes only blank entries to a green checkmark for the highlighted day (students previously marked as absent will not be changed).
- Update Empty Records to Absent changes only blank entries to a red minus sign for the highlighted day (students previously marked as present will not be changed).
- Mark All Present changes all entries to a green checkmark for the highlighted day.
- Mark All Absent changes all entries to a red minus sign for the highlighted day.
2. Enter attendance manually for each student by clicking in the appropriate circles. Click once to mark present and click twice to mark absent. A student marked present will be displayed as a green checkmark. A student marked absent will be displayed as a red minus sign.
For both options, you can see the Student Details in the right-side panel where you can record Hours Attended and Notes. If you check the Absence Notified box, the student will not be penalized in the attendance calculation. You can also enter an Extended Absence with a specific date range and a note.
From this page, you can also perform the following four actions using Class drop-down menu:
- Cancel this Class Meeting: Cancels the date and does not count in the attendance percentage calculation. (Note: The Class Canceled option cannot be undone).
- Update CRN Last Date of Attendance (updates Banner)
- Update CRN Total Hours (updates Banner)
- Update Attendance in Gradebook (updates Banner)
Note: On the Faculty Attendance page, the Attendance Completed value is not updated for when the meeting is canceled after the withdrawal date.
Note: Attendance tracking is enabled for the current week, if you forgot to enter attendance for previous weeks you will need to change the current date to the meeting date you want to enter attendance using the calendar functionality.
Click on the Person Icon in the top right corner and select Sign Out to close your session.
Note: Please use the Sign Out button at the top of the page to end your session completely. If you do not sign out completely, the next person using that computer may be able to access your attendance tracking records.
