Getting Started

This article walks you through how to check in and join your virtual appointment with your counsellor using Zoom.

Note: Please check in through the Student Health & Wellness Portal for all counselling appointments so you can access your Zoom link and let your counsellor know you’re ready.

What You Need to Attend Your Virtual Session:

You will need to have Zoom installed on your device.
A private, quiet location where no one else will be and where you won't be interrupted.
Your safety is very important to us which means that we will not conduct appointments with you when you are in a moving vehicle.

Step 1 - Log In To The UFV Student Health & Wellness Portal

1. Go to ufv.ca/counselling and click on Book Now, or visit studenthealthandwellness.ufv.ca.

2. Sign in with your UFV student e-mail and password.

Note: If you need help with your UFV log in, visit the UFV IT Service Desk for help.

3. Confirm your date of birth and click Proceed

Step 2 - Find Your Appointment

To find your appointment, you can:

Click Appointments in the left-hand menu.
Click Schedule an Appointment on the Portal home menu.

Step 3 - Check In For Your Appointment Your upcoming appointment will appear at the bottom of the page.

2. Click Appointment Check In

3. Review your personal information and click Continue. You can update your name, pronouns, and other personal information by clicking on Profile in the left-hand menu. See Update Your Personal Information for help.

Step 4 - Join The Zoom Meeting

Your counsellor will create a Zoom link 5-10 minutes before your appointment. If the Zoom link is available, you can join the meeting by selecting Click here to join the meeting.

Note: If you don't see a link, please keep reading this help guide.

If you do not see a link, your counsellor may be delayed or they have not created the Zoom link yet.
Refresh your browser or return to the Appointments page. Once your counsellor creates the Zoom link, you can click on Join Meeting.

For Regular Counselling Sessions:

If you check in 15 minutes or more after your scheduled appointment time, please contact the Student Services Front Desk to reschedule your appointment.

For Initial Consultations:

If you check in 10 minutes or more after your scheduled appointment time, please contact the Student Services Front Desk to reschedule your appointment.

Note: If more than 5 minutes have passed since your scheduled appointment time and no Zoom link is available, please contact the Student Services Front Desk.

Step 5 - Wait For The Counsellor To Let You In To The Zoom Meeting

After clicking the link to join the Zoom meeting, you may need to wait in the Zoom waiting room until your counsellor is ready to begin the session.
