The UFV Laptop Loan Program supports students who require short-term or temporary access to a laptop for academic purposes. This article outlines the terms and conditions, usage limitations, liability terms, frequently asked questions (FAQ), and available student discounts to support longer-term technology needs.
 

UFV Student Laptop Loan Program Terms & Conditions


LOAN PERIOD AND RENEWALS

Equipment must be picked up and returned during the IT Service Desk hours at the Abbotsford or Chilliwack campus. Students can loan out laptops for 1 day, 1 week, or up to 30 days if stock is available. Students are required to complete a loan agreement for each loan and renewal. All renewals must be completed in person.

ELIGIBILITY

A valid UPass Umo Student Pass or UFV Student ID is required for all loan-outs and renewals to show proof of active registration and student status. Loans are restricted to current UFV students.

  • Students may only borrow one laptop at a time.
  • Eligibility may be contingent on students being in good financial standing with the university (e.g., no outstanding fees).

RETURNS

All equipment must be returned to the IT Service Desk campus office it was borrowed from in Abbotsford or Chilliwack during open hours.

The IT Service Desk staff will verify that equipment and accessories (power cable and bag  ) have been returned.

All user files will be deleted and cannot be recovered. Laptops are re-imaged (wiped clear of any trace of prior users' use) upon return to the IT Service Desk. Students are responsible for saving their work to removable media (e.g USB stick), a cloud service (e.g. Google Docs, Dropbox, OneDrive) or emailed prior to returning the equipment.  

LIABILITY & FINES

The IT Service Desk is not responsible for any lost, stolen, or damaged property, including loss of data due to hardware or software malfunctions. Students' use of loaned equipment is at their own risk. Any equipment malfunctions should be reported immediately to the IT Service Desk. 

The loaned equipment must be returned by the end of the loan period, free from any damage. The cost to repair or replace loaned equipment that is assessed as damaged by the IT Service Desk management team will be the responsibility of the student. The student will be charged the cost of the repair or the full replacement cost of the equipment (up to $1200 ).

Equipment that is not returned within 14 days of the due date will be considered lost, and the student will be charged for the full replacement cost of the equipment (up to $1200).

FAQs

What software is available?

Laptops only have access to the internet, including the Office suite (docs, spreadsheets, etc.). As such, they can be used to access myUFV and myCLASS and to complete written assignments. Additional software cannot be added to the laptop. Laptops can access Office 365 by following these instructions - https://itservicedesk.ufv.ca/TDClient/52/ITServicesPortal/KB/ArticleDet?ID=1147

Can I install personal software or save files?

Software and personal documents can be saved on the hard drive of the laptop during the borrowed period. However, all information must be saved to removable media (USB stick) or emailed prior to return. Laptops will be wiped of data upon return to the IT Service Desk. The IT Service Desk assumes no responsibility for the loss of, or damage to, any file placed on or used on the laptop.

Can I print from the laptop?

Yes. Printing is available. Follow this link for the steps involved.

Can I access the Internet with the laptop?

The laptops are equipped with wireless network access. Please be advised that all usage of this laptop is subject to the University’s policy on Appropriate Use of Information Technology Resources.
