Retiring from UFV means that some of the IT services available to employees will change. Your UFV account remains active after retirement, but you will no longer have access to services that require an employee Microsoft 365 A5 licence or a UFV-managed device.
This guide explains what happens to your UFV IT services and what you should do before your retirement date.
What Happens to My UFV Account?
Your UFV account does not expire when you retire.
You can continue to use your UFV credentials to access certain UFV services. However, your account will no longer have the same access and licences that were available to you as an active employee.
We strongly advise UFV employees to verify their current UFV password, and sign up for Self-Service Password Reset (SSPR) before retirement, so that password resets will be simpler in the future. To set up SSPR, please go to Microsoft Security Info, select Add sign-in Method, and choose Email - Receive a code to reset your password.

Accessing Outlook on the Web
-
Open a web browser.
-
Go to the outlook.office.com.
-
Sign in using your UFV email address and password.
Tip: Before your retirement date, review your mailbox and save any emails or attachments that you need to retain for your personal records.
Microsoft 365 and Office Applications
After retirement, your Microsoft 365 A5 licence will be removed.
This means that Microsoft applications and services provided through your UFV licence will no longer be available, including:
If you need to continue using Microsoft Office applications after retirement, you will need to obtain your own licence or use an alternative office suite.
OneDrive and UFV Files
OneDrive is provided to active UFV employees as part of Microsoft 365. Because retirees no longer have a Microsoft 365 A5 licence, OneDrive is not available after retirement.
Before your retirement date, review your OneDrive and other UFV file storage locations and save any files you are authorized to retain.
This may include:
Microsoft Teams
Microsoft Teams access is tied to your Microsoft 365 licence.
After retirement, you will no longer have access to UFV Teams through your employee account.
If you have important information in Teams, review and save anything you are authorized to retain before your retirement date.
Shared Drives
Access to UFV shared drives is based on your employee access and permissions.
After retirement, access to UFV shared drives will no longer be available.
If you need copies of documents from a shared drive after retirement, contact the appropriate department or file owner before your retirement date.
Adobe Applications
Adobe applications provided through UFV are licensed for eligible employees.
After retirement, your UFV Adobe licence will no longer be available.
If you need Adobe software after retirement, you will need to obtain your own licence or use an alternative application.
VPN
Retirees will not have access to the UFV VPN.
A UFV-managed computer or other UFV-issued device is not provided as part of retirement access.
Campus Wi-Fi (eduroam)
Your UFV account remains active after retirement, so you can continue to use your UFV credentials to connect to UFV campus Wi-Fi when visiting campus.
myUFV and Employment Records
Retirees can continue to sign in to myUFV using their UFV credentials.
The Employee Dashboard remains available for applicable services, including access to:
Tip: We recommend downloading and retaining important employment, payroll, and tax records for your personal records.
Printing
UFV printing services are not available to retirees.
If you need to print, please use your own available printing resources.
Before You Retire
We recommend completing the following before your retirement date:
-
Verify that you know your current UFV password and can successfully sign in to your UFV account.
-
Set up Self-Service Password Reset (SSPR) so you can reset your password more easily in the future.
-
Review your UFV email and save important messages or attachments.
-
Review your OneDrive and save files you are authorized to retain.
-
Review any UFV shared drives and identify documents you may need.
-
Save important employment, payroll, and tax records.
-
Review information stored in Microsoft Teams that you are authorized to retain.
-
Identify any software you will need after retirement and arrange for your own licences if necessary.
-
Make sure you know how to access Outlook on the web and myUFV.
Important: Do not wait until after your retirement date to organize files or information you may need. Access to several UFV services will change when your Microsoft 365 A5 licence is removed.
