Audio Visual Setup Instructions

The following is about the audio visual setup in:
Abbotsford, Building A, Room 263

System Features

The audio visual system in Abbotsford A-263 includes:

  • PTZ Camera
  • Table Microphones
  • Speakers
  • 75" Display
  • Logitech Tap with Teams Room MTR system
  • Connectivity for Windows or MacOS devices

Option 1: Teams Room mode — use the Logitech Tap and in-room MTR system to join and control Teams meetings.

Option 2: BYOD Mode — connect a laptop with the Logitech Swytch and run the meeting from the laptop.

Using Teams Room mode: In-Room MTR system with Logitech Tap

Power on the display using the Sony remote.

Locate the Logitech Tap controller on the table. 

Join a Scheduled Meeting

1. Locate the meeting on the Tap calendar on the right side of the screen.

2. Select Join

3. The camera, microphones, and speakers will activate automatically

4. Use the on-screen controls to manage the meeting.

 

Start a New Meeting

1. Select Meet Now on the Tap. An empty meeting with the room will start right away.

2. Search for and invite the required participants on the right side of the screen

3. Select the participant(s) and press Request to Join.

 

Teams Meeting Controls

During a meeting, use the Logitech Tap to:

  • Mute or unmute the room microphones
  • Turn the room camera on or off
  • Adjust speaker volume
  • View the participant list
  • Invite additional participants
  • Share content
  • End the meeting

Sharing Content with the Logitech Tap

Share using the room presentation HDMI cable (recommended)

1.  Connect the HDMI presentation cable from the Tap to a laptop.

2. The connected laptop's screen will automatically be shared on the in-room display and the Teams meeting for remote participants.

3. If it does not appear automatically, press the Share icon located at the bottom right of the screen.

4. To stop sharing, disconnect the HDMI cable.

 

Share Wirelessly through Microsoft Teams

1. Join the meeting from your laptop.

2. When joining, choose Room audio, or turn off your laptop's microphone and speakers to prevent echo/feedback.

3. Select share in Teams, and choose the screen, application, or content you want to present.

Using BYOD mode with a Windows Laptop

1. Connect the Logitech Swytch cable to your laptop.

2. The laptop will automatically connect to the camera, room microphones, speakers, and display.

3. Launch your video conferencing application on your device (Teams, Zoom, etc).

4. In the application's device settings, ensure your device matches the following:

Microphone: Echo Cancelling Speakerphone (Logi Rally Audio)

Speaker: Echo cancelling Speakerphone (Logi Rally Audio)

Camera: Logi Rally Camera

Using BYOD mode with a MacOS Laptop

To install Synaptics DisplayLink Manager:

1. On your Mac, go to the Synaptics website

2. Click blue button to download for the MacOS installer.

3. Open and run the installation file.

4. Go into System Settings:

Turn on DisplayLink Manager

a. Select Privacy and Security.

b. Go to section Screen and System Audio Recording.

c. Toggle switch of DisplayLink Manager to on position.

5. Connect either end of the purple 'Y' cable into your device (both will provide Video, Mic and Camera).

6. Launch your video conferencing application on your device (i.e. Teams, Zoom, etc).

7. In the applications device settings, ensure your device matches the following:

Microphone: Echo Cancelling Speakerphone (Logi Rally Audio)

Speaker: Echo Cancelling Speakerphone (Logi Rally Audio)

Camera: Logi Rally Camera

Controlling the PTZ Camera

Using the Logitech Rally remote, control the Pan, Tilt, and Zoom of the camera.

The remote also offers basic meeting controls for convenience (mute, volume up/down, and hang up).

To set camera presets, position the camera where desired and press and hold button 1 or 2 to save it. Press 1 or 2 to recall the saved camera presets at any time.
