Event Support

Overview

A minimum of five business days' notice is required to schedule event support. Requests scheduled outside of regular operating hours may incur overtime costs and are subject to staff availability.

Utilize this service to request support for an event (e.g., rectangular folding tables, chairs, waste stations, etc.). Individual classroom and boardroom set-up is the responsibility of the requestor. All furniture is on wheels to enable each user to quickly customize their booked space.

The following are services we can assist with:

Maintenance:

  • Rectangular folding table and chair setup
  • Additional extension cords

Custodial:

  • Additional waste stations
  • Waste station event maintenance
  • Additional cleaning (prior to / after event)

Grounds:

  • Outdoor cleaning or preparation of a space (prior to / after event)
  • Access to exterior water supply & hoses

Blackout Dates: During exams we are unable to provide tables and chairs for any events from 3 business days before to 2 business days after.
 

Departmental Consultations:

  • Logistics: If you need any of the following (non-folding tables, bar, podiums, poster boards, easels, coat racks, UFV sign etc.), please submit an Event Delivery request.
  • Security: Complete a Room / Building Access request if your event occurs outside of regular hours, or you do not have card access to the event location. For removal of bollards for vehicle access to laneway between Building S & E please submit a Safety/Security Inquiry.
  • Parking Services: Please contact Parking Services for reserved parking, barricades, or pay parking inquiries.
  • IT Services: Please contact AV Services if you need Internet connectivity, equipment or support for this event.
  • Office of the Registrar / Room Bookings:  Please reach out to Room Bookings to find a suitable space for your event.
     

Information Required

You will need to include the following important information as part of your request:

  • Event name
  • Safety and Security event application ticket ID (if applicable)
  • Estimated number of attendees
  • Event location
  • Event set up and take down time (please include this in your room booking request)
  • Event start and end time
  • Services required (e.g., table / chair set up, waste stations, etc.)
  • Detailed setup instructions
  • Attachments (event layout plans or pictures to aid in describing event setup requirements)
